Hello, I am demoing your rules software however it will not save any rule I make. I add it then go back in and its not listed. Any ideas?
I Outlook 2003 on XP.

Hi Nancy,

Just to repeat what I have emailed to you. I'm sorry, it appears I didn't update the code properly when I updated the trial to expire at the end of March - which is why the rules weren't saving.

The latest version, with properly updated trial date, is now available for download.

Version 1.2.4 also includes Autoreply and improved spam training for when building spam database from scratch (as new installations need to).

Its saving the rules now... however when I try to have it save a copy of a message to a folder that is on a seperate data file it lets me set it up but then tells me the folder is not there even though it is. It seems to only do that for my seperate data pst files. Is that something I can get around?

Do you select the folder using the folder select button, or simply type the name?

If you type the name (which means RM will search for the folder), then you will need to enable "Search all mailboxes for folder" option (from Rules Manager options).

If you are using the folder select button and simply clicking on the folder, then it should be doing it. In which case let me know and I will double-check it here.

I'm using the box. You probably don't need these but I've put links to images of every step and also showing my seperate pst files in outlook itself. This software will be a godsend to me if I can get it working.

What always amazes me is the number of different ways people organise things. I've never seen pst files used like that, though it makes perfect sense of course!

I haven't tried with multiple pst files in that sense, so I will create a couple and test. Certainly it already works with multiple Exchange mailboxes, but it may be that pst files are addresses slightly differently.

I will post an update once I've checked this over. It may not be until tomorrow that I get a chance to have a proper look.

Yeah I do a LOT of emailing and keep copies of most of it for work etc. so I have to have different pst files to keep their sizes managable. Appreciate you checking into it!

Hi Nancy,

I have managed to check, and as you found out it didn't work correctly with multiple pst files.

I have just uploaded another update (1.2.5) that does handle multiple pst files properly, so please download that and try it. Uninstalling your current version and reinstalling the latest will not lose any rules.

Let me know if it fixes the problem for you!

I had to reboot to get any of the rules to work but it appears to be working fine now including with the additional pst files. I'll input more rules and test it for a while. If it handles it all I'll defintely purchase. This will make my life SO much easier!

I'm afraid the documentation is a bit thin (or none-existent!) at the moment. I will address at some point.

One point that's probably worth making is that the Create Rule button opens the quick create rule form, which allows you to quickly create a rule to sort mail into a folder (which is the most frequently created rule - in fact, 99% of my rules are this type).

The whole list of rules is available from the Rules Manager menu (Rules... Manage...). You can also create rules from there, and there are additional options when creating a rule that way (such as the autoreplies and forwarding). The interface there is based on Outlook's built-in Rules Wizard, so hopefully it's fairly straight-forward.

There will be another update soon once the Archiving feature is complete - this has been requested by several people. After that I will write a basic user guide.

If there are any rules you can think of that would be useful for you, but are not implemented, then please do ask. While I may not be able to add them immediately, if it is at all possible I will add them. The idea is for this software to take the hassle out of organising email!

Rules are also given a priority when they are created. This means that you can change the order in which they are processed (this can be important if several rules apply to one email), which can only be done from the main Rules Manager window.

Not sure why you had to reboot, but so long as it is working that is the important thing.

Thanks for the added info! I just use the basic rules to sort things but I have a lot of them. I sure love having a larger window to view them in. I'd like to be able to sort them in the main box. Not sure if that's doable though. Also is there a way to put the Manage Rules on the toolbar proper?

I'll add an option for a toolbar button for the Rules Manager. You can also adjust the font of the Rules Manager window(s) from Rules Manager Options.

By sort them in the main box, you mean in the RM window? They can be sorted from here... The only thing is I may not have enabled the buttons on the version you have as it is a facility I have been testing. It is now working ok, but not sure it was enabled for the upload - also, I will be adding more sorting options. If it is, you'll see an up and down button as shown in the attached screenshot. If you can't see them I'll get an updated version up soon.

Filter... is useful for restricting the list of rules shown. You can restrict on either email address or folder (this is crucial really when you have lots of rules!). The Find... simply searches through the displayed list of rules for the next one containing the criteria you specify.

Hi Dave!
I just purchased. However I still can't get the rules to sort in the RM window. I downloaded and installed the from the link again but it still won't sort. Any ideas?

Also, I assume I can add more than one email for a rule... do I just put a space between them or does it require a colon?

Hi Nancy,

Do you have the two buttons with the arrows on your Rules Manager window? If not, then that hasn't got the sort in, I haven't uploaded again since the other day.

You can't currently add more than one email per rule - this is to keep the speed of the rule processing high, as all matching rules can currently be obtained in one query. What I can do is add a facility for you to enter more than one email address when creating the rule, and RM can then create the rules from that. Would that be useful?

I am just doing some final testing on the sorting features (there are buttons to move rules to top and bottom now) - as soon as this has completed I'll send you a link to the full version download. Right now the trial that you have is the latest version, so rather than update twice (i.e. to full version then the upgrade to the version I'm about to release) I'll just send the latest link when ready - which will be within three days. Is that ok?

No I don't have the arrow buttons. Thats fine. Just let me know when the final full version is ready. Having more than one email per rule is not that big a deal. I can just make seperate rules for clients who have more than one email. The two things I really need are the sorting feature and then putting the "manage rules" button on the toolbar. I use those a lot.

Ok, that explains the sort. I have added the Manage Rules to the toolbar (or rather, as an option to be added under Advanced options), so that will also be in the updated release. As I say, just running some final testing on the sorting and it will be ready.

There will be email grouping at some point in the not too distant future. This will allow the grouping of emails from particular people or companies even though there are many rules. Having said this, at the moment the way I do it is to use the Filter in the Rules Manager window; this works ok for me as I tend to sort emails by company name so I can filter on folder. You can also filter on email address.

I'll look at multiple email addresses for a future version. One thing you can do with the email address is remove the part before the @. e.g. if a rule is set to match emails from @domain.com, then any email from that domain will match. This is useful for matching all email from a particular company, for example. If you also have rules to move some mail from particular addresses within that company to a particular (different) folder, then a rule can be created with a higher priority to catch that email first. With the version you have, priority is whichever rule was created first. You will have full control over priority very shortly though!
